You may have made some recent changes to your Accounting Software for cases that your payees notified you of outdated details, which needs to be changed and verified. These changes can be consolidated and uploaded to eftsure’s portal using a populated CSV template.
1. Select the "Payees" option from the "Customer Options" ribbon.
2. Select "Import/Update Payees" option from the action list on the right.
3. Download our CSV template, populate the template under the headings with the required payee record data and save the file in CSV format to your local machine.
4. Go to Payee File Upload and select the "Select Payee File" option, locate on your devise and select the saved CSV file to upload from your local machine and select open.
5. Once you have selected the document, click on "Upload Payee File".
Note: The file to be uploaded should be in CSV Format. A delimited file is not standardised and may vary depending on the source system, thus users need to match column fields on their loaded file with the system’s field column to ensure accuracy. This is done by manually mapping the uploaded CSV file column headings. (See below for instructions of how to map file headings.)
Mapping CSV Column Headers to System Fields
Once the file is selected for upload, options will be made available to map the CSV column headers to the system fields. Select the correct CSV column header value from each respective drop-down list and map to the matching system field.
CSV Column Headers:
- Account number
- Branch Code
- Account holder name (The official registered name of the payee)
- Payee code (Your unique code internally used to identify a payee)
- Payee name (The name used for the payee in your system records)
- Entity type
- Identifier type
- Payee Identifier (company No, or equivalent)
- Email address
- VAT number
- Is active (Yes or No)
- Is Employee (Yes or No)
5. Review uploaded payees and address any issues marked in Red:
- Reviewing payees will allow users to see impacted data and any relevant issues prior to executing the changes.
- Common issues may include alerts for invalid company registration numbers, invalid file format, invalid email, etc.
- Issues will appear in Red.
- In order to only view errors, click on "Only Show Errors".
- Once issues are addressed, click “Import Data” to triggers the changes.
